Position Summary

Under the supervision of the Subsidy Supervisor, the Subsidy Coordinator is responsible for completing specific operations of the subsidy program in accordance with the goals and objectives, state/federal requirements and policies of the Resource Connection. The Coordinator will work closely with other R&R staff, fiscal staff and the Program Director. The Coordinator is responsible for knowing and following the guidelines, regulations and policies set forth by the Resource Connection Board of Directors and appropriate funding sources. 

 Key Areas of Responsibilities and Duties

  1. Client Services (65%)
    • Identify eligible families on the Child Care Eligibility List (CEL), determines eligibility and enrolls according to program regulations and agency policies.
    • Determines eligibility by verifying family information and maintains family files in accordance with agency/state policies and procedures, updates family information as needed.
    • Identifies additional family needs and refers families to the appropriate resources.
    • Keeps current on subsidy contracts, federal regulations, agency policy and procedures.
    • Works with other subsidy and R&R staff in initial orientations with new providers regarding procedures, resources and support materials. Maintains a good rapport with the child care community.
  2. General Support (25%)
    • Process monthly claims, family fees, reports, and projections.
    • Ensure timely and accurate reports are submitted to Program Director and funders.
    • Assist with annual evaluation and improvement plan.
    • Assists parents and community with information or TA regarding the CEL.
    • Attend trainings, meetings and workshops in and out of the area. Within accepted agency procedures, applies knowledge and training from meetings and workshops
    • Keeps current on subsidy policies and procedures
    • Acts as part of a team to ensure the office runs smoothly

 

  1. Collaboration and Coordination of Services (5%)
    • Collaborate and coordinate with other R&R services to ensure continuity of information is provided to families, caregivers and the community
    • Work with the R&R department to ensure resources are shared
    • Participate in agency staff meetings and trainings

 

  1. Other Duties / Responsibilities (5%)
    • Attend staff and company meetings/ trainings as directed
    • Office related errands

 

Minimum Qualifications

  • High School Diploma or equivalency
  • Two years experience working in an office performing clerical duties and experience working in a position determining eligibility for financial assistance, insurance or a similar work environment.
  • Completion of 12 semester units in early childhood education preferred
  • Two years' experience in one of the following preferred: child care, child development, family services or community resources.

 

Knowledge of:

  • Community Resources

  • Microsoft Office Suite (Excel, Word, Outlook Express), email and Internet use
  • Principles, practices and techniques of childcare and development services
  • Age appropriate practices and ability to express the concepts to others

Required Physical Activities:

  • Must have hand and wrist coordination for data entry input
  • Must be able to reach, grasp, finger,
  • Must have good vision for close up computer work (with or without the aid of eye glasses or contact lenses)
  • Must be able to stand and/or sit for up to 3 to 4 hours at a time
  • Be able to speak and communicate verbally with co-workers, customers, venders, etc.
  • Must be able to occasionally life up to 30 lbs

 

Work Environment:

The work environment includes:  medium-sized, well-lit, well-ventilated business offices; standard height counter tops and desks; storage shelves from ground level to ten feet; varied office equipment (computer, telephone, Facsimile, copier, etc). The noise level in the work environment is usually moderately quiet, with frequent interruptions and multiple demands.

 

Required Travel:

Occasionally travels locally and out-of-area, year-round, under all weather conditions.

        Special Requirements:

-      Must have a valid California Driver's License

-      Must submit proof of current automobile insurance coverage at State minimum levels

-      Must successfully pass a Livescan and other background checks

-      Willingness to work irregular hours and attend night meetings based upon needs of the business
